Job Summary:
Reporting to the Registrar and Director of Registration and Records, the Assistant Registrar for Student Operations and Processes coordinates and executes specialized student facing functions within the Office of Registration & Records in accordance with established procedures and guidelines. This position serves as the subject matter expert for academic systems and student operations, acts as the departmental liaison to the Academic Standards Committee, and provides comprehensive support for student processes.
The Assistant Registrar must maintain knowledge of but is not limited to admissions, registration, academic records, residency, and all other enrollment-related processes, including concurrent enrollment and high school diploma enrollments. This position is responsible for applying knowledge of FERPA, federal, state, and institutional policies as they relate to reviewing and processing the registration and records information/requests, including, address changes, the program of study changes, class registration forms, and other student records documents.
This position handles complex inquiries and complaints received through the admissions and records communication channels, including email and telephone. It provides accurate guidance on college curriculum and admissions requirements, clearly explains detailed rules and regulations, and advises students and staff on appropriate procedures while maintaining the highest standards of customer service. Strong multitasking abilities are essential, along with excellent research skills and sound professional judgment when making decisions.
Duties & Responsibilities:
Duties require substantial independent research/follow-up with various parties to validate the information and present options for resolution. This position must maintain current and up to date knowledge of FERPA, Federal, State, and Institutional Policies regarding registration and enrollment practices. This position is responsible for managing the resources of the Front Counter as well as training, supervising, and coordinating work schedules of work-study and hourly staff to ensure /Front Counter coverage. This position requires working with a diverse population constituting the college’s community, students, and employees.
General Administrative Duties:
- Process enrollment related requests (Enrollment Verifications, Loan Deferments, Records Releases) in compliance with FERPA and institutional, state, and federal policies.
- Resolve issues related to registration, academic records, residency, and enrollment inquiries.
- Review and process Program of Study Changes and Change of Information forms.
- Manage departmental communication and assist students and staff in person, by phone, and via email regarding admissions, registration, grades, transcripts, and related services.
- Deliver consistently high quality customer service and support with forms, registration updates, and student record processing.
- Support High School Connections with holds, identity verification, test score review, and roster verification.
- Conduct degree audits, evaluate academic standing, monitor graduation requirements, and support student persistence and completion.
- Provide guidance on enrollment and degree verification, transcripts, graduation eligibility, licensure documentation, and other academic records that students often need for employment, internships, apprenticeships, and professional advancement.
- Coordinate graduation and credentialing processes, including degree conferral, audits, and milestone tracking, ensuring students have timely documentation for career placement and post‑graduation opportunities.
- Maintain data integrity and prepare reports on enrollment, retention, graduation, and student progression for internal and external stakeholders.
- Collaborate with various stakeholders, including Academic Affairs, Advising, Student Services, Financial Aid, and other departments—to ensure accurate records and seamless student support throughout the student lifecycle.
- Support graduating students with transition guidance, licensure requirements, credential verification, and documentation frequently required by employers, certification boards, and transfer institutions.
- Ensure compliance with institutional policies, FERPA, accreditation standards, and state/federal reporting requirements.
- Assist with registrar operations, including registration processes, records maintenance, curriculum updates, and catalog implementation.
- Apply institutional identity verification standards when processing student record changes, transcript requests, credentialing activities, and enrollment transactions.
Specialized Duties:
- Serve as the primary institutional point of contact for Degree Works
- Oversee Degree Works configuration, degree audit rule building, and catalog/program updates to ensure accuracy and alignment with institutional curriculum.
- Coordinate with IT, advisors, academic departments, and the vendor to troubleshoot issues, implement enhancements, and maintain system reliability and sustainability.
- Lead training, documentation, and user support for faculty, staff, and advisors to promote effective use of Degree Works in monitoring student progress and supporting retention.
- Serve as staff liaison for the Academic Standards Committee
- Provide authoritative guidance on academic policy, degree requirements, and regulatory compliance to support committee decision making.
- Review and present student academic records for petitions, appeals, and exceptions, ensuring accuracy and adherence to institutional standards.
- Collaborate with faculty and administrators to develop, revise, and implement academic policies that promote fairness, consistency, and student success.
- Serve as ORR staff lead for Inter-institutional programs.
- Coordinate all processes related to interinstitutional enrollment, ensuring compliance with institutional agreements, state guidelines, and ORR procedures.
- Act as the primary liaison between CCD, partner institutions, and internal departments to resolve registration issues and support seamless student participation.
- Maintain accurate records, monitor enrollment activity, and implement workflow improvements to enhance efficiency and student experience.
Supervision of Staff:
- Assist with the hiring, onboarding, and training of ORR, work study, student hourly, and hourly staff.
- Directly supervise the Graduation Specialist, Academic Credential Specialist, and additional team members as needed, providing clear direction, coaching, and professional development to support staff growth.
- Oversee scheduling, assignment of responsibilities, timesheet processing, and performance evaluations while fostering a collaborative, high performing team culture and identifying opportunities to expand staff capabilities and leadership.
- Ensure front counter resources and staffing are sufficient to meet high demand periods.
- Maintain current knowledge of services, best practices, policies, and procedures related to Admissions and the Office of Registration & Records.

Other Considerations:
Ability to work in a high-volume, fast-paced environment serving a diverse student population. May require occasional evening and weekend hours to support student programming, outreach activities, orientations, training events, and community engagement activities. This position requires a high degree of professionalism, accuracy, confidentiality, initiative, and customer service.

Experience:
• Two (2) years of customer service in higher education or related field.
• One (1) year of supervisory experience.
Preferred Qualifications:
Education:
- Master’s degree. Years of related professional experience may be substituted on a year-for-year basis. Substituted experience must be management or upper-level administrative assistant work.
Experience:
- Experience working in the Office of Registration & Records as well as experience working with faculty/students in a post-secondary setting. Working with specialized student programs including veterans and international students.
