Job Summary:
The Coordinator of Auxiliary Services oversees and coordinates the College’s auxiliary operations, including the Student Center, food service and catering, Ed Stafford Theatre, auxiliary facility usage in coordination with Student Affairs. The position also coordinates, schedules, markets, and supports campus and community events and facility rentals.
Responsibilities include financial and administrative oversight, event and facility coordination, customer service, policy implementation, and supervision of assigned part-time and student employees. The Coordinator works closely with the College’s contracted food service provider and other campus departments. Evening and weekend work is required based on scheduled events, along with assisting with event setup and teardown and lifting up to 50 pounds.
Duties & Responsibilities:
1. Coordinate the scheduling and use of auxiliary facilities for College and community events, meetings, conferences, and other activities.
2. Coordinate event logistics, including facility setup and teardown, staffing, catering, and other resources needed for successful events.
3. Market and promote College facilities available for public and community use.
4. Serve as the primary College liaison with the contracted food service provider and assist with administration of the food service and catering contract.
5. Review and process food service invoices and other auxiliary-related financial transactions for accuracy and timely payment.
6. Prepare invoices and maintain accurate billing records for auxiliary facility usage.
7. Assist with the development and management of Student Center and cafeteria budgets and monitor auxiliary revenues and expenditures.
8. Review facility usage rates and recommend changes to ensure appropriate and competitive pricing.
9. Supervise and evaluate assigned part-time and student employees.
10. Purchase supplies and equipment in accordance with College purchasing procedures.
11. Identify and implement technology and process improvements to enhance auxiliary services and customer experience.
12. Work with the Vice President of Finance and Operations, Controller, Physical Plant Director, and other College personnel on facility planning, maintenance, and operational needs.
13. Ensure auxiliary facilities are maintained as safe, welcoming, and functional spaces for students, employees, and the public.
14. Other duties as assigned by the Controller.
Minimum Qualifications:
• Bachelor's degree or an equivalent combination of education and relevant experience.
• Experience in customer service, event coordination, facility operations, hospitality, business operations, or a related area.
• Strong organizational skills with the ability to manage multiple priorities, deadlines, and events.
• Ability to work independently and collaboratively with employees, students, vendors, and members of the public.
• Ability and willingness to work evenings and weekends as required by scheduled events and facility operations.
• Ability to assist with event setup and teardown and lift and move up to 50 pounds, with or without reasonable accommodation.
Preferred Qualifications:
• Proficiency with standard office technology and the ability to learn College financial, scheduling, billing, and administrative systems such as Quick Books.
• Experience with budgeting, billing, financial reconciliation, or related financial processes.
