Salary: The annual salary for this position is $57,500 and may be up to 5% higher depending on relevant experience, education, and certifications when compared to others doing substantially similar work. While all offers are compliant with the Colorado Equal Pay for Equal Work Act, there is no guarantee that an offer will be above this value.

Job Summary:

The Pre-College Program Administrative Assistant provides administrative support to the Director and staff of the Pre-College Program to include communication preparation, records maintenance, database entry, report writing, presentation development, and related tasks.

Duties & Responsibilities:

Essential Functions
•Acts as a primary contact by answering phones providing program information and disseminates information between staff members.
•Performs basic administrative office support work for all Pre-College Program sites, by following program, campus, and partnership protocols as well as supervisor direction.
•Enters student data in various school district's platform and Gateway to College database.
•Enters admission, registration, student class information, and course coding into campus BANNER system.
•Utilizes the campus Ultimus platform to schedule and set up program staff training, and student information sessions; schedule events; create purchase orders and funds transfers; create job requisitions to hire and job separations; request business cards, name tags and keys; and other official college requests.
•Assists with student orientations by checking in students and verifying paperwork is complete based on program, campus, and partnership guidelines.
•Maintains daily proficiency in the Microsoft Office Suite, with a heavy emphasis on generating Excel reports and performing data analysis.
•Works closely with the campus printshop and Communications department to schedule print jobs, bulk mailings, and other program/marketing materials.
•Compiles and distributes program information internally and externally to ensure quality communication between all members of staff and PCC departments. This includes helping with program social media pages.
•Maintains positive customer relationships with internal and external customers and vendors.
•Organizes record keeping routines such as student files, internal logs, spreadsheets, reminder notices and establishes a routine for locating missing documents and information.
•Sets up book exchange schedules to help distribute textbooks, materials, and other supplies to various locations.

•Assesses individual and department work processes and recommends improvements.
•Complies with State Fiscal Rules, State Board policies, System and College protocols, and departmental procedures.
•Obtains and maintains proficiency with required systems and equipment.
•Maintains confidentiality of student and employee information as required.
•Completes all required compliance training within the established timeline.
•Serves on committees and other groups as assigned.

Competencies/KSAs:

•Knowledge of laws, accreditation standards, and best practices pertaining to administration within higher education.
•Proficiency with Microsoft Office; working knowledge of Ellucian Banner
•Able to lift 15 pounds.
•Able to read and communicate in English.
•Mobility around campus.

Minimum Qualifications:

Education
•High school diploma.
•Two or more years of general clerical, administrative, or office support experience.
•Experience preparing worksheets, presentations, and/or reports.
•Experience working with diverse, at-risk populations.
Travel
•Colorado Community College System offices in Denver
•Fremont or Mancos, CO locations
•Conferences within or outside of Colorado
•Various locations within the college’s service area
Schedule
•State business hours are Monday-Friday, 8:00am – 5:00pm
•Infrequent weekend and/or evening hours required

Selection Process:

Review of applications begins immediately and closes at 5pm (Mountain) on June 23, 2026.

PERA retirees are not eligible to fill this position except on an interim basis and only in accordance with PERA work provisions.
