Trinidad State College, located in Trinidad, Colorado, is a state-supported, two-year institution of higher education. The College was established by an act of the State Legislature in 1925 and is the oldest public two-year college in the State of Colorado. The College’s Service Area includes eight rural counties characterized by low population density and small communities. One campus is located in Trinidad and is a residential campus while the other, located in Alamosa, is a commuter campus. Both campuses serve distinct populations. As a comprehensive Community College, Trinidad State College not only offers ongoing transfer Associate of Arts Degree and Associate of Applied Science (vocational) Degree programs but also has developed and implemented numerous successful short-term vocational certificate programs, and totally inclusive adult education and developmental programs.
Job Summary:
Trinidad State College (TSC) seeks an Accounting Specialist. This is a full-time, twelve-month, position which reports directly to the Controller. This position will work closely with the Business Office personnel to ensure compliance with the fiscal policies and procedures of the State Board for Community Colleges and Occupational Education (SBCCOE), State of Colorado, CCCS, and TSC. The Accounting Specialist will perform general accounting duties, assist with grant tracking and reporting and provide support to Controller as needed. This position is on the Trinidad Main Campus and will meet both campuses' needs.
The Accounting Specialist is responsible for a variety of administrative, logistical, and accounting tasks that support the daily functions of grants and college programs and initiatives. The ideal candidate will carry out job duties emphasizing attention to detail, respect for sensitive information and confidentiality, and complete tasks with minimal oversight and high independence. This individual will be able to take direction from multiple staff members, prioritize dynamic workloads, provide excellent customer service, propose solutions, communicate effectively, and work collaboratively across the organization. This position experiences prolonged time on the computer and phone. It also includes providing logistical and administrative support to the Controller.
Duties & Responsibilities:
• Performs work with a high level of accuracy and an eye for detail; can identify and correct mistakes in own work.
• Develops and prepares materials and reports for presentation to granting agencies and the Controller as needed.
• Assists Controller with reconciling grants, prepping draws, and determining adjustments.
• Monitors reporting timelines and communicate them interdepartmentally to ensure we are meeting deadlines and requirements.
• Manages and monitors expenditures to ensure proper utilization and control of appropriated and non-appropriated funds.
• Collaborates with the finance team to develop and implement accounting policies and procedures.
• Oversees the financial aspects of grant management, ensuring compliance with federal, state, and local funding requirements and organizational policies.
• Monitors grant budgets throughout the project lifecycle, identifying and addressing any variances or discrepancies.
• Reviews and ensures timely submission and accurate financial reports to grantors, highlighting key financial information and ensuring adherence to reporting guidelines.
• Prepares monthly recurring journal entries as per journal entry checklist.
• Collaborates with program managers to gather relevant data for narrative reporting.
• Documents imaging of journal entries and other records received from Business Office to be scanned and indexed in Banner for the maintenance of accurate and efficient records of such documents.
• Maintains files as needed for business office and grant records.
• Maintains and promotes positive public relations and customer service-oriented attitude.
• Data entry and accounting support for the department as assigned by the Controller.
• Must organize, prioritize, and schedule work to meet deadlines pertaining to grants and Business Office
• Back-up support for other Business Office team members and Controller
• Willingness to travel between both campuses.
• Other duties as assigned.
Competencies/KSAs:
Minimum Qualifications:
• Bachelor’s degree in accounting or related field or equivalent experience
• Minimum of one-year experience in the field of accounting
• Overall experience in accounts payable, receivables, financial statements analysis and bank reconciliations
• Effective and efficient time-management skills and has the ability to handle multiple responsibilities simultaneously, prioritize and balance workloads with minimal supervision, and meet critical deadlines in a busy office environment
• Ability to work independently and with flexibility; takes initiative to implement work with little follow-up needed, asks questions, when necessary, identifies issues, proposes solutions and next steps, and collaborates in problem-solving
• Proven ability to work as a team player, appropriately exhibiting a positive attitude and sense of humor
• Ability to anticipate, identify, and address others’ needs in a dynamic work environment
• Demonstrated ability to receive and incorporate feedback and direction effectively
• Understands and demonstrates the importance of communication and customer service
• Understanding of the mission of the community college programs typically offered at a community college
• Illustrates strong written communication skills, including a knowledge of written correspondence etiquette for a business setting
• Ability to establish and maintain effective working relationships with college faculty and staff, students, and other higher education professionals
• Ability to recognize and maintain the confidentiality of records
• Proficient in Microsoft Office Suite and Banner including spreadsheets, database programs and web applications
• Ability to work the hours required for this position, and is both punctual and reliable
• Experience in working with Hispanic and underrepresented populations
• Must hold a valid driver’s license and be willing to travel
