Job Summary:
This position is fully grant-funded and contingent upon continued funding. The Educational Opportunity Center (EOC) is a federally funded TRIO program serving eligible adults, with an emphasis on low-income and first-generation participants, across the five-county Denver metropolitan service area. The program helps participants access secondary credential completion, postsecondary education, career training, and workforce-aligned pathways.
The Administrative Coordinator organizes and coordinates the people, processes, systems, financial activities, records, and administrative resources that support EOC operations. Working under the direction of the EOC Director, the position supervises student employees; coordinates front-office coverage, participant intake, scheduling, and documentation processes; maintains program databases and reporting workflows; supports preparation of the Annual Performance Report and other required reports; monitors budget and procurement activities; and collaborates with institutional departments to resolve operational needs. The Coordinator exercises independent judgment in prioritizing responsibilities, addressing routine administrative and data-quality issues, improving workflows, and elevating significant fiscal, compliance, personnel, or programmatic concerns to EOC leadership.
Duties & Responsibilities:
Supervision, Communication, and Administrative Operations
- Manage front-office operations to ensure professional, compliant, and high-quality customer service.
- Supervise, onboard, train, and schedule student employees (including work-study) supporting customer service and data operations.
- Provide ongoing supervision, performance feedback, and time-entry oversight for student and hourly employees.
- Coordinate participant appointments, calendars, phone coverage, and general office logistics.
- Communicate effectively with institutional partners, including Human Resources, Fiscal Services, and Financial Aid.
- Support participant recruitment activities in alignment with TRIO eligibility guidelines.
- Maintain confidential physical and electronic participant records in compliance with FERPA and program standards.
- Support EOC Educational Access Specialists with scheduling, data processes, and compliance requirements
- Assist with marketing and outreach materials in collaboration with CCD Creative Services and external vendors.
Data and Systems Management
- Maintain and manage EOC databases and reporting systems in compliance with U.S. Department of Education requirements.
- Lead data collection, validation, analysis, and reporting efforts for the TRIO–EOC Annual Performance Report (APR).
- Develop and run queries, dashboards, and reports to support program decision-making.
- Oversee EOC systems such as Student Access, Formstack, and Talkroute.
- Document and improve data workflows; provide training to professional and student staff.
- Maintain current knowledge of TRIO regulations, financial aid requirements, and Banner system guidelines.
- Ensure accurate documentation of participant services, outcomes, and interactions.
- Conduct qualitative and quantitative data analysis and prepare tables and summary reports as requested.
Budget Support, Maintenance, and Analysis
- Reconcile and monitor the EOC budget monthly to ensure compliance with federal, state, and institutional guidelines.
- Prepare regular budget reports for program leadership.
- Manage procurement activities, including purchase requisitions, vendor quotes, and contract coordination.
- Oversee office supply purchasing, conference registrations, and equipment needs.
- Coordinate travel arrangements and reimbursements for professional development activities.
- Monitor and track financial allocations for hourly and student employees.
- Maintain working knowledge of applicable fiscal policies and grant requirements.
Other Duties
Perform other duties as assigned by the EOC Director.
Competencies/KSAs:
- Demonstrated ability to create and organize client records, create and manage databases and multi-task (i.e. answer phones, handle front office walk-ins, and data entry).
- Demonstrated ability working effectively with diverse populations served by EOC. Competent problem solving skills, effective communication and writing skills; and the ability to work under deadlines and periods of high stress are essential.
- Ability to maintain confidentiality in matters pertaining to the EOC program, its clients, and the institution.
Minimum Qualifications:
Education:
Bachelor’s degree required.
Experience:
- Experience working in corporate or professional education setting; data management experience; proficiency in MS Office, including Access, Outlook, Word, and Excel.
- Application of basic and intermediate Excel formulas to help evaluate, compile and manipulate large data sets.
- Ability to work in a collaborative environment and interact effectively with different departmental constituencies.
- Ability to learn and apply computer technology to enhance productivity in the workplace
- Demonstrated success in delivering excellent customer service skills by applying appropriate problem solving techniques.
- Experience in delivering training to either staff, colleagues or other stakeholders in office procedures, program guidelines and/or customer service.
- Success at prioritizing multiple projects (or demands) while maintaining flexibility with unanticipated issues, demands or program needs.
Other Considerations:
A team-oriented individual who is organized, prompt, consistent, and dependable.
Be able to adhere to program office hours of 8:00am to 5:00pm.
Willingness to work flexible hours on weekends and evenings when grant deadlines need to be met.
This position is grant funded by the Department of Education and is contingent upon availability of funds.

Preferred Qualifications:
Experience:
- Experience with analyzing and interpreting data so as to evaluate progress along benchmarked goals and objectives.
- Supervisory experience.
- Experience with TRIO programs or knowledge of educational or other related barriers encountered by low-income and first-generation students and prospective students
- Bilingual (ability to read, write and speak in Spanish)
